Shows Overview

The Shows system is a first-class module that sits above the department layer. It connects existing VenueTrack modules — assets, scheduling, deficiencies, inventory, documents, custom forms — under a production context.

Core Concepts

  • A Show is the production blueprint (e.g., "Midnight Revel," "Rhythm & Light"). It defines what a production is, not where or when it runs.
  • A Show Instance is a specific deployment of a Show at a specific location. "Midnight Revel" on MV Ocean Star and "Midnight Revel" on MV Sapphire Seas are two separate Show Instances.
  • A Cast is a company of performers contracted for a Show Instance. Multiple casts rotate over a show's lifetime.
  • Roles connect cast members to their costumes, equipment, and changeover tasks. Three levels: Role Definitions (on the Show), Role Instances (on each Show Instance), and Role Assignments (on Cast Members).
  • Performances are first-class records — each show, rehearsal, or tech run is tracked individually with notes, checklists, substitutions, and incidents.
  • Changeovers are structured transition events when one cast hands off to another.

Example Scenario: Rehearsal to Deployment

This illustrative walkthrough shows how the Shows system handles a typical cast lifecycle from rehearsal through deployment.

  1. A cruise line hires a new cast. They rehearse at a shoreside production center.
  2. The production center is in VenueTrack's location hierarchy as a land-based building with Studio 7 as a venue.
  3. The Production Manager creates a Rehearsal Show Instance for "Midnight Revel" at Studio 7.
  4. Cast 3 is created, and performers are assigned to roles.
  5. The cast rehearses. Venue blocks are auto-created for Studio 7.
  6. A Cast Transfer moves Cast 3 from the production center to MV Ocean Star's Performance Instance.
  7. On the ship, Cast 2 is still performing. Cast 3 arrives and begins ship rehearsals. Both casts are active simultaneously.
  8. The Changeover workflow runs. Cast 3 clears, Cast 2 departs.
  9. The production center's Rehearsal Instance is archived.

Show Health Indicator

The Show Health indicator provides an at-a-glance assessment of a Show Instance's operational readiness.

  • Green — No open deficiencies on assigned assets.
  • Amber — Low or Medium severity open deficiencies, or a cast member with a minor/moderate incident under review.
  • Red — High or Critical open deficiencies, or a cast member with a serious/critical incident or signed off.
